PAYROLL INFORMATION (July,2017): 

There have been no government issued payroll changes for July, 2017. To see the current payroll data and limits please refer to the January, 2017 Newsletter.

KALYPSO BITS & PIECES:

Bank Transfer Files
If you are generating Bank Transfer Files, remember that these export files are comma delimited files, meaning that there is a comma placed after each field that is exported. A gotcha happens, when you have a vendor in the payment file that has a comma in their name. This now throws off the number of columns on that particular line. Remember to edit the BankPay.txt file to remove the comma from the vendor name. The permanent fix is to remove commas from the names of all vendors in vendor maintenance.
Legacy Systems and Hardware
Do you have old hardware on its last legs? Some of you may be running customized or specialized software that isn’t compatible with new hardware. If this sounds familiar, and you are concerned, don’t wait, give us a call before your hardware dies all together. Once the hardware dies, then the fix becomes way more complicated or maybe even impossible. We were able to help one customer upgrade from a 1990’s DOS PC to a new Windows 10 machine and their specialized DOS program from the 1990’s continues to run unchanged on the new hardware.

Maybe your business has evolved and it is time to upgrade your out of date custom software or add some new features and functionality but you don’t know what the next steps are. We have developers on staff that can help figure out the path forward. Let’s put our heads together and work on some cost efficient alternatives that will move your business forward.

Hardware Upgrades
We are encouraging customers to upgrade computers and servers to Windows 10. Numerous customers have already upgraded to Windows 10 and it is business as usual. One caution though; please verify that your printers are compatible with Windows 10 before you start your upgrade. Have your IT support person give us a call if they have any questions about upgrading your hardware environments. Contego can also supply you with new upgraded hardware, give us a call and we’d be happy to quote you on new hardware that suites your needs. We want to see all Kalypso customers running on Virus protected, stable and secure environments.

Did you know that Contego has an eStore?
If you are buying your toner or ink and miscellaneous other IT supplies from Staples or Best Buy; then you’ll want to give Arnold a call and he can get you set up to take a look at the eStore that our sales team have just rolled out.

Trying to be Green
We know that a number of you have asked for your invoices to be emailed instead of being mailed and we’d like to get to the point where most of our invoices are emailed out. Electronic payment is also an option – either by Direct Bank Transfer or an Interac e-Transfer. Canadian Payroll

The T4 form for 2016 is similar to those for 2014, and may be marked “T4(13)” or “T4(14)” in the lower left corner. You can download the forms from the CRA, and when you print them be sure to select the “Actual” size option and not the “Print to Fit” option.

KALYPSO BITS & PIECES:

T4 returns in XML format for the year 2016

Instead of T4 forms, the CRA will now accept T4 returns in a special XML file, and this file can be prepared by Kalypso as a user-selectable option during the T4 print job. For more information, navigate to the CRA website that deals with T4 returns in XML format. Note that the T4 .XML file prepared by Kalypso will include the T-619 transmittal information required by the CRA.

It is the user’s responsibility to make the necessary arrangements with the CRA to validate and transmit the T4 XML file. Note that T4 returns in XML format are mandatory for over 50 employees.

The XML file prepared by Kalypso will be called “PAYROLLxxxxXML”, where “xxxx” is the year in question (for example, PAYROLL2016.XML), and will be stored in the \Kalypso folder on the PC where the job is run. The CRA advises anyone who submits T4 returns in XML format to acquire XML parser software and validate the format of the T4 records before submitting them. This is a good idea, since any errors detected by the CRA in the T4 XML returns will cause the entire T4 submission to be rejected. From the list of suggested XML parsers, XML Writer seems to be OK. The cost is about $150 – go to http://xmlwriter.net.

XML Writer validates your XML T4 file against a set of CRA specifications called a Schema. The 2017 Schema contains the T4 specs for the payroll year 2016, and you should:

1) Create a new folder called PayrollXML on drive C: (if the folder already exists, delete all files from the folder.
2) Go to www.cra-arc.gc.ca/esrvc-srvce/rf/hwfl-eng.html and download the 2017 T4 Schema zip file xmlschm1-17-1.zip.
3) Extract the individual files from “xmlschml-17-1.zip” into the folder PayrollXML.

Then, at end-year:

1. Use Kalypso Payroll End-Year Processing to prepare a T4 XML file “Payroll2016.xml”.
2. Copy the T4 XML file from the \Kalypso folder into the folder C:\PayrollXML.
3. Load XML Writer, Click “File” then “Open” and navigate to C:\PayrollXML\Payroll2016.xml.
4. From the XML Menu, select “Validate”.
5. If all is OK, the message “Document is well-formed XML and valid according to the Schema” appears.
Otherwise, each error in turn will be displayed. To fix, you will have to go back to Kalypso Payroll, make
changes and repeat steps 1 – 5 above:

Hint: Aim to get all simple format errors eliminated before the final end-year T4 job, as follows: Get XML Writer and the Schema set up as soon as possible, then use Kalypso Payroll to prepare a trial T4 XML file and run steps 1 – 5 above. To minimize the incidence of format errors in your T4 XML file, make sure that:

1. Your Payroll Control Data contains the FULL 15-character (9 digits + 2 letters + 4 digits) Business
Number assigned by the CRA,
2. Your email address is not left blank during XML file preparation,
3. If any address includes both the City and Postal Code in a single line, the 2 fields should be separated
by at least 2 blank spaces.

The future of Kalypso

This past January, Contego Tech Solutions of Calgary purchased the Kalypso software from MCS. Contego is a full service IT company, and are developing new features surrounding the Kalypso product suite. Kevin from Contego has already been in contact with all of you and will be meeting with some of you here shortly during his visits to the Vancouver and Victoria areas. If you have any questions about Contego’s plans, please give Kevin Esau or Arnold Janzen a call at 403-775-4580.

Kalypso runs under Windows XP, Windows 7, Windows 8 and Windows 10, with data storage on Windows Server 2003, 2008 and 2012. (For full details, navigate to “Customer Support Q&A”, then scroll down to “Transferring the Software to another PC”). Contego has been able to assist a number of clients in getting their Kalypso systems running successfully within a Windows 10 environment. Please contact them if you need assistance with this.

Ongoing security with Windows XP

If you do plan to keep on using Windows XP, here are a few suggestions you can either do yourself or ask your computer supplier to do for you, which will reduce the risk of hackers, viruses, etc.

1. Make sure you are using the SP3 version, and that all XP updates are installed.
2. Switch away from Internet Explorer to another browser like Google Chrome.
3. Disable Java for web browsing unless you have a specific, regular, ongoing need.
4. Use a good quality anti-virus software such as Malwarebytes – do NOT use Avast!!
5. Switch to a user account where you must enter a password to login.

Accounts Receivable

Version 3.39 corrects a problem in the Invoice Payment Status report. In some cases the computer starts at the wrong position in the historical period – now it starts always from the beginning of the history file.

Canadian Payroll

No changes to Payroll Version 3.32 but, effective July 1st, 2016, the BC Provincial Tax Reduction Factors have been changed to reflect retroactivity to Jan 1st, 2016, and should now be set as follows:

The future of Kalypso

Kalypso is 32-bit software. MCS is not planning to convert Kalypso to 64-bit processing, as the investment to do so is considerable. Below is a summary of the current status:

Kalypso runs under Windows XP and Server 2003 with no modification whatsoever. It will also run under Windows 7, Windows 8, Windows Server 2008 and Windows 10, provided that these versions of Windows are either 32-bit or are 32-bit backward-compatible, and have been modified to accept Kalypso. (For full details, navigate to “Customer Support Q&A” , then scroll down to “Transferring the Software to another PC”).

It is important to check with your hardware supplier if and when you upgrade from Windows XP. Kalypso may not run if your PC is pure 64-bit or if the new Windows version is 64-bit-only.

However, there are a few options available for Kalypso to run in the 64-bit future, which you or your hardware supplier can investigate. MCS cannot guarantee success, but these options are documented on the internet, and include (a) VMware, (b) Virtual PC and (c) Dual-boot processing.

Invoicing & Order Entry

Version 3.48 now flags a warning when the current invoice file is over 90% full, and will probably overflow within the next 2-4 weeks.

When running Invoice Storage and Retrieval, a window opens on the lower left side of the screen, indicating the size and date range of both Current and Archive invoice files. When the current file size exceeds 950,000 KB, the size will be displayed in RED, and the bell will sound. The user must transfer some invoices to Archival storage as soon as possible at the end of the day.

Of course, if the Archival file is already near capacity, some of the older invoices must first be removed from this Archive file, in order to make way for the invoices to be transferred from the Current file.

Transferring Kalypso to another PC

This is needed when an old PC is replaced by a newer model. For full details of the steps involved, click on “Customer Support Q&A” at the top of this page, and then scroll down to “Transferring Kalypso to another PC”.

KALYPSO BITS & PIECES:

Kalypso under Windows 7, 8 and 10

Kalypso is 32-bit software.  MCS is not planning to convert Kalypso to 64-bit processing, as the investment to do so is considerable. However, as long your PC is 32-bit and your version of Windows has 32-bit compatibility, Kalypso will run.

If you need to transfer Kalypso from a Windows XP machine to another 32-bit PC with Windows 7, 8 or 10,  and these versions of Windows are 32-bit backward-compatible,  navigate to “Customer Support Q&A” , then scroll down to “Transferring the Software to another PC” for instructions on transferring the software.

Kalypso will NOT run if your PC is pure 64-bit or if the new Windows version is 64-bit-only.  Under those conditions, you will need special software to set up a VM (Virtual Machine) on the new PC, and transfer the entire Kalypso XP-based system into this VM. Kalypso will then run in a separate XP window on the 64-bit PC. Ask your computer supplier to investigate VMware Workstation Pro or VMware Workstation Player to set up your Kalypso VM.

Ongoing security with Windows XP

If you do plan to keep on using Windows XP, here are a few suggestions you can either do yourself or ask your computer supplier to do for you, which will reduce the risk of hackers, viruses, etc.

1.        Make sure you are using the SP3 version, and that all XP updates are installed.

2.        Switch away from Internet Explorer to another browser like Google Chrome.

3.        Disable Java for web browsing unless you have a specific, regular, ongoing need.

4.        Use a good quality anti-virus software such as Malwarebytes – do NOT use Avast!!

The future of Kalypso

Kalypso is 32-bit software.  MCS is not planning to convert Kalypso to 64-bit processing, as the investment to do so is considerable. Below is a summary of the current status:

Kalypso runs under  Windows XP and Server 2003 with no modification whatsoever. It will also run under Windows 7, Windows 8, Windows Server 2008 and Windows 10,  provided  that these versions of Windows are either 32-bit or are 32-bit backward-compatible, and have been modified to accept Kalypso. (For full details, navigate to “Customer Support Q&A” , then scroll down to “Transferring the Software to another PC”).

It is important to check with your hardware supplier if and when you upgrade from Windows XP.  Kalypso will NOT run if your PC is pure 64-bit or if the new Windows version is 64-bit-only. 

However, there are a few options available for Kalypso to run in the 64-bit future, which you or your hardware supplier can investigate. MCS cannot guarantee success, but these options are  documented on the internet, and include (a) VMware, (b) Virtual PC and (c) Dual-boot processing.

Transferring Kalypso to another PC

This is needed when an old PC is replaced by a newer model. For full details of the steps involved, click on “Customer Support Q&A” at the top of this page, and then scroll down to “Transferring Kalypso to another PC”.

Maximum file size allowed with Kalypso

The size of any file within Kalypso is just over 1 GB, namely 1,073,740 Kbytes. You are not likely to ever exceed this size, with the possible exception of high-volume Point-of-Sale users with stored Invoices,  Orders or P/O’s that contain more than 8 years of history. To find out the size of these files at any time, go to System Administration >> Other System Utilities > Trouble-Shooting >> System Checkout and select Invoicing and/or Inventory Management. If any file is over 900 MB, give us a call – your options will be either to archive or purge old information.

T4 forms for end-year 2014

The T4 form for 2014 is similar to those for 2013, and may be marked “T4(13)” or “T4(14)” in the lower left corner. You can download the forms from the CRA, and when you print them be sure to select the “Actual” size option and not the “Print to Fit” option.

T4 returns in XML format for the year 2014

Instead of T4 forms, the CRA will now accept T4 returns in a special XML file, and this file can be prepared by Kalypso as a user-selectable option during the T4 print job. For more information, navigate to the CRA website that deals with T4 returns in XML format (e.g. for 2014 reporting, you should navigate tohttp://www.cra-arc.gc.ca/esrvc-srvce/rf/mgmd/xmlspcs2015-eng.html). Note that the T4 .XML file prepared by Kalypso will include the T-619 transmittal information required by the CRA.

It is the user’s responsibility to make the necessary arrangements with the CRA to validate and transmit the T4 XML file. Note that T4 returns in XML format are mandatory for over 50 employees

The XML file prepared by Kalypso will be called “PAYROLLxxxxXML”, where “xxxx” is the year in question (for example, PAYROLL2014.XML), and will be stored in the \Kalypso folder on the PC where the job is run. The CRA advises anyone who submits T4 returns in XML format to acquire XML parser software and validate the format of the T4 records before submitting them. This is a good idea, since any errors detected by the CRA in the T4 XML returns will cause the entire T4 submission to be rejected. From the list of suggested XML parsers, XML Writer seems to be OK. The cost is about $150 – go to http://xmlwriter.net.

XML Writer validates your XML T4 file against a set of CRA specifications called a Schema. The 2015 Schema contains the T4 specs for the payroll year 2014, and you should:

1)     Create a new folder called PayrollXML on drive C: (if the folder already exists, delete all files from the  folder.

2)     Go to http://www.cra-arc.gc.ca/esrvc-srvce/rf/mgmd/dnwldschm-eng.html, and download the 2015 T4 Schema zip file.

3)     Extract the individual files from “XmlSchema2015.zip” into the folder PayrollXML.

 

Then, at end-year:

1.        Use Kalypso Payroll End-Year Processing to prepare a T4 XML file “Payroll2014.xml”.

2.        Copy the T4 XML file from the \Kalypso folder into the folder C:\PayrollXML.

3.        Load XML Writer, Click “File” then “Open” and navigate to C:\PayrollXML\Payroll2014.xml.

4.        From the XML Menu, select “Validate”.

5.        If all is OK, the message “Document is well-formed XML and valid according to the Schema” appears.

Otherwise, each error in turn will be displayed. To fix, you will have to go back to Kalypso Payroll, make

changes and repeat steps 1 – 5 above:

 

Hint: Aim to get all simple format errors eliminated before the final end-year T4 job, as follows:   Get XML Writer and the Schema set up as soon as possible, then use Kalypso Payroll to prepare a trial T4 XML file and run steps 1 – 5 above. To minimize the incidence of format errors in your T4 XML file, make sure that:

1.        Your Payroll Control Data contains the FULL 15-character (9 digits + 2 letters + 4 digits) Business Number assigned by the CRA,

2.        Your email address is not left blank during XML file preparation,

3.        If any address includes both the City and Postal Code in a single line, the 2 fields should be separated by at least 2 blank spaces.

Kalypso and future Windows versions

This version of Windows 8 has not been well received. A few users have got Kalypso running under Windows 8, but only with the Professional version. For some reason relating to the touch-screen option, Kalypso cannot run under the Home version (the keyboard goes into endless auto-repeat mode).

Microsoft is expected to announce Windows 9 sometime next year. Although designed for 64-bit machines only, many analysts think that running 32-bit software (like Kalypso and the vast majority of business applications ) will still be possible.

The future of Kalypso

HR Systems will not be developing future versions of 64-bit Kalypso, as they now realize that the investment to do so is considerable. We are naturally disappointed but, since Kalypso can be run under Windows 8 (and possibly Windows 9), MCS has reclaimed ownership of Kalypso and will continue to maintain the software as in the past.

Other packages now on the market (e.g. VMware) may well enable Kalypso to run on 64-bit machines or as cloud-based software in the future,  but we have no plans to change screen layouts, user manuals or processing procedures.

It is the user’s responsibility to make the necessary arrangements with the CRA to validate and transmit the T4 XML file. Note that T4 returns in XML format are mandatory for over 50 employees

This is a good idea, since any errors detected by the CRA in the T4 XML returns will cause the entire T4 submission to be rejected. From the list of suggested XML parsers, XML Writer seems to be OK. XML Writer validates your XML T4 file against a set of CRA specifications called a Schema. The 2014 Schema contains the T4 specs for the payroll year 2013, and you should:

1)     Create a new folder called PayrollXML on drive C: (if the folder already exists, delete all files from the  folder.

2)     Go to http://www.cra-arc.gc.ca/esrvc-srvce/rf/mgmd/dnwldschm-eng.html, download the 2014 T4 Schema   zip file and save it on the desktop as a zip file called “XmlSchema2014.

3)     Extract the individual files from “XmlSchema2014.zip” into the folder PayrollXML.

 

Then, at end-year:

1.        Use Kalypso Payroll End-Year Processing to prepare a T4 XML file “Payroll2013.xml”.

2.        Copy the T4 XML file from the \Kalypso folder into the folder C:\PayrollXML.

3.        Load XML Writer, Click “File” then “Open” and navigate to C:\PayrollXML\Payroll2013.xml.

4.        From the XML Menu, select “Validate”.

5.        If all is OK, the message “Document is well-formed XML and valid according to the Schema” appears.

Otherwise, each error in turn will be displayed. To fix, you will have to go back to Kalypso Payroll, make changes and repeat steps 1 – 5 above:

 

Hint: Aim to get all errors eliminated before the final end-year T4 job. Get XML Writer and the Schema set up as soon as possible, then use Kalypso Payroll to prepare a trial T4 XML file and run steps 1 – 5 above. To minimize the incidence of format errors in your T4 XML file, make sure that:

1.        Your Payroll Control Data contains the FULL 15-character (9 digits + 2 letters + 4 digits) Business Number assigned by the CRA,

2.        Your email address is not left blank during XML file preparation,

Inventory Management
Version 3.33 has a small improvement when processing Inventory File Maintenance. When using the F10 option to analyse Quantity on Order and Quantity Committed, all lines from Customer orders that specify “Core Charges” or “Environmental Levy” are now excluded from the display. (These lines are not necessary, and were causing some confusion).
Order Entry & Invoicing
Version 3.42 includes the following changes:(a) Message “MAY CONTAIN TAXABLE & Non-TAXABLE LINES” now flashes twice (previously once) and bell rings twice (previously once) if customer is not PST-exempt but has a PST number.

(b) Can now update a line with item name “Environmental Levy” or “Core Charges”.

(c) If the Order Entry flag = “N”, when an existing order was recalled and quantity changed (or order cancelled), Quantity Committed in the Inventory Master is now being correctly updated.

 

 

 

KALYPSO BITS & PIECES:

AVAST Anti-virus gives false positives

Avast anti-virus software is free, and originates in the Czech Republic.

According to Google, AVAST anti-virus software has often given false positive results, i.e. says that harmless programs are virus threats. Now, the latest releases have identified some Kalypso programs as viral threats, and deleted them from the Kalypso folder. Net result – some users have not been able to access Kalypso Invoicing or General Ledger because the programs have been deleted.  What’s more, if the missing programs are downloaded from the MCS website, Avast immediately deletes them again!!

Our advice – avoid unnecessary hassles – find another alternative to Avast anti-virus.

 

PAYROLL – Employee pictures

There is a little-known feature in Kalypso Payroll that allows users to display a picture of an employee during Employee File maintenance. The picture must be in .bmp format, must be stored in the Kalypso Data folder, and the filename must be “nnnnnnnnn.bmp”, where “nnnnnnnnn” is the 9-digit employee SIN number.

PAYROLL  Notes for July 2013

There are no Federal tax changes for July 2013, and the only Province with tax changes is New Brunswick. Since there are no Kalypso users in New Brunswick, there are no Payroll changes at this time.

 

FLYER SALES – CASH & CARRY option

Flyer sales often have special low clearance prices, sometimes less than that offered to charge customers but in order to get these prices, customers must pay cash. One way to ensure this happens is to record all the sale items in a special quotation (rather than in a Flyer file), and assign the quotation number to Cash Sales only.

KALYPSO BITS & PIECES:

PENNY ROUNDING at the POINT-of-SALEAs you know, the Federal Government has stopped producing 1-cent coins, and these coins will soon be unavailable for general use. The Government has advised that all PoS sale transactions should be rounded up or down to the nearest 5 cents if cash is being tendered and the customer does not have sufficient 1-cent coins. This regulation applies only to the total (sale + tax) and not to individual items, and only when cash is being tendered.

Kalypso Invoicing version 3.40 will handle penny rounding, and will be available as a program website upgrade by mid-February 2013.  The procedures are described below, so you should print out this information and keep it for reference over the next 2-3 months.

Kalypso allows for 3 possible scenarios where the total (sale + tax) might require penny rounding to the nearest 5 cents:

Case #1..  Customer has exact change, no rounding required, no change given.

Case #2..  Customer does not have exact change, but does have correct number  of pennies. No rounding required, but change will have to be given.

Case #3..  Customer does not have pennies, rounding is required and change may be given.

Case #3 will be the one that will prevail into the future, so Kalypso has been designed to handle this case in the most efficient way.

Setting Up

Step 1..  Select Accounts Receivable >> Control Data Maintenance >> G/L Codes & Names.

Step 2..  Ensure that Tender #1 has the name “$CASH” or “$Cash”.

Step 3..  Set up Tender #9 with the exact name “$Rounding Adj” or “$ROUNDING ADJ”, and with a unique G/L code in the same range as the other tendering G/L’s.

The above steps are all that is needed to handle Case #3 above. However, in the first few months, it will also be necessary to deal with cases #1 and #2. To do this, in addition to the 3 steps above:                                                                     

Step 4..  Set up Tender #8 with the name “$Penny-Cash ” and with the same G/L code as Tender #1.

Point-of-Sale Procedures

Establish that the customer is paying Cash, and whether or not they have the correct number of pennies. Then:

For Case #1 and #2..  Enter the Payment as “P8” followed by the amount being tendered. The program will not attempt penny rounding.

For Case #3..  Enter the payment as “P1”. The program will round the total up or down as required, display the rounding line, and the newly-rounded total.  Then, just enter the amount being tendered.

At day’s end, the total for “P9” will, in effect, be the amount over/short due to rounding.

RETURN of the PST

On April 1st, PST and GST will once again be charged separately in British Columbia

Some Kalypso users never did charge HST as a single tax, but continued to charge both PST and GST, which Government did not really approve of but nevertheless tolerated. For those users, the H.S.T. ACTIVE flag in the Invoicing Control Data Maintenance was never set to “Y”. Now, all users must, on or just before Monday April 1st, ensure that the  H.S.T. ACTIVE flag is set to “N”.

In addition, everyone must:

  1. Record the new PST numbers for those customers who are exempt.
  2. Identify out-of-Province customers who are PST-exempt.
  3. Identify those inventory items which are PST exempt.
  4. Be aware of services which are PST-exempt.
  5. If recalling Invoices, Orders or Quotations,  delete all existing tax lines before beginning to make any changes.

Version 3.35 now has an option in the single-line customer listing to print out a list showing only Account No., Name and email address. This (hidden) option is activated by pressing F7 instead of Enter when entering the Other Category selection control.
